Calendar, presentations & marketing

Three practical labs built around a fictional five-property multifamily portfolio. Calendar management and PowerPoint are core executive assistant skills; marketing is a smaller supporting module.

Calendar management

Scenario: Regional manager Jordan needs a conflict-free schedule for Tuesday, November 10, 2026. All times are Eastern. Preserve fixed meetings and leave 15-minute buffers between locations or video calls.

RequestTime / constraintPriority
Ownership budget review9:00–10:00 AM · fixedCritical
Vendor contract call9:30–10:00 AM · flexible, before 3 PMMedium
Resident escalation briefing10:30–11:00 AM · fixedHigh
Lunch with property manager12:00–1:00 PM · flexibleMedium
Board presentation rehearsal1:00–2:00 PM · fixedCritical
Maintenance project check-in2:15–2:45 PM · flexibleHigh

Self-check: Does your plan protect both critical fixed meetings, resolve the 9:30 conflict, and account for a buffer before the 1 PM rehearsal? Never silently cancel an executive's meeting.

Executive PowerPoint presentations

Prepare a concise 5-slide regional operations update. Use the fictional property metrics below and avoid presenting estimates as verified financial results.

PropertyOccupancyOpen work ordersMonthly budgetActual spending
Harbor Point94%11$42,000$45,200
Willow Park97%5$38,000$36,400

Cypress Court96%8$35,000$34,900
Oak Terrace93%14$40,000$41,600

Deliverable: title and purpose, KPI overview, budget variances, maintenance risks, and recommended next steps. Create the actual presentation in PowerPoint or Google Slides; this lab exports your outline and source data.

Quality check: Use consistent fonts, descriptive slide titles, accessible charts, source labels, and one key message per slide. Reconcile the numbers before presenting.

Marketing essentials for property operations

Supporting skill only: assist a property team with clear, accurate communications. Scenario: Willow Park is hosting a fictional resident appreciation event on November 20, 2026, from 5–7 PM in the community clubhouse. No paid promotion is authorized.

Self-check: Don't invent amenities, availability, prices, incentives, or event details. Avoid discriminatory targeting, obtain required approvals, and never publish resident information without authorization.

How these fit into the Academy

Calendar management: Core skill in scheduling and inbox weeks. PowerPoint: Core skill in the executive reporting week. Marketing: Brief introduction within property operations, not a separate specialization.
